Setting up your state and license

ClearPath maps every requirement and audit rule to your state's board. Pick the right state and license type during onboarding so the dashboard shows accurate numbers.

Every clinical license has its own state board, its own hour totals, its own supervision ratios, and its own forms. ClearPath has rules encoded for all 50 states + DC, but only one of those rule sets is right for you.

On your first sign-in we ask for state and license type as part of the welcome flow. If you skipped that step or chose the wrong option, head to Settings → Profile and update both. The dashboard will rebuild against the correct rules within a few seconds.

If you're tracking hours toward a license you don't see in our list (LMHC in some states, LCMHC in others, LSW vs LICSW), reach out — we likely have the rules under a different short name. The board form ID and statute citation are usually the cleanest way to identify the right ruleset.

Inviting your supervisor

Your supervisor reviews and signs your hours from their own ClearPath account. Sending them an invite is a 30-second flow.

Open Supervision → Invite. Enter your supervisor's name, email, license number, license state, and license type. ClearPath sends them an email with a unique link that expires in 14 days.

When they click the link, they create their own ClearPath account (or sign in if they already have one) and accept the relationship. From that point on, the entries you log show up in their review queue automatically.

If your supervisor never gets the email, check their spam folder for a message from noreply@clearpathhours.com. You can resend an invite from the same page — pending invites are listed at the bottom and a new invite supersedes the old.

Your supervisor only sees the entries you've logged. They don't see your billing, your settings, or anything from other supervisors. Each supervision relationship is independent.

Logging hours every week

The fastest path is the weekly grid. Type hours into the cells, save the week, move on. Below are the patterns that keep audits clean.

Hour log accuracy starts with cadence. Logging once a week takes about three minutes per session and stays accurate. Logging once a month takes longer, costs more attention, and produces more guesswork.

Hours → Grid is the fastest entry surface. Pick your site, type decimals (1.5) or H:MM (1:30) into each cell, and hit Save week. The grid figures out which cells are new entries, which are updates to existing entries, and which got cleared. You don't manage individual rows.

When you need to log something the grid can't capture cleanly — a session with notes, a non-standard category, a recurring pattern — use Hours → Log hours. The detailed form keeps every field your state board cares about: setting, client population, supervision context, and a free-text description.

Skipped a week? Backdating is fine. Just put the right date on the entry. Boards prefer accurate retrospective logs over fictional cadence.

Importing from Track Your Hours

If you're switching from TrackYourHours.com, ClearPath imports your full history from the CSV they let you export.

From your TrackYourHours account, request a full data export. They email a CSV containing every hour entry, with columns for date, duration, category, supervisor, and site.

In ClearPath, sign in and go to the onboarding step labeled "Import Hours" (or run it later from Settings → Account → Import). Drop the CSV. ClearPath auto-maps the TYH category names to its internal taxonomy and previews everything before insertion.

Look at the preview. Anything ambiguous is highlighted — typically you'll see a few entries that need a category remap or a missing supervisor relationship. Fix them in the preview and confirm. ClearPath does the rest as one batch.

Your existing TrackYourHours subscription stays active until you cancel it. Some users keep both running for a month to confirm parity before fully switching. That's a sensible move.

Downloading your state's board forms

ClearPath generates the official PDF forms your state board accepts, populated from your logged hours. You print, sign, mail.

Forms → State board pack. Pick a date range and the form template you need. ClearPath generates a populated PDF that mirrors your state's exact form layout — same row labels, same numbers, same totals.

The form values come from your logged hours, your supervisor relationships, and your profile. If anything's missing — a supervisor's license number, a date your state expects — the generator flags it before producing the PDF instead of leaving blanks.

For California (BBS), we cover Form 37A-630 (LCSW Weekly Summary), Form 37M-630 (LMFT/AMFT), and Form 37P-630 (LPCC). Other Tier 1 states have similar form packs. Tier 2 states get a clean summary printout you can attach to whatever form your state expects.

Once generated, the PDF is yours. ClearPath doesn't submit it — you print, sign, and mail according to your board's instructions. We're the data layer; the board still owns the submission.

Supervisor signatures and approvals

Once your supervisor reviews an entry in their portal, it moves to Verified status with their signature attached. Boards that accept e-signatures will accept these.

Each entry has one of four statuses: Submitted (you've logged it, awaiting review), Verified (your supervisor approved), Edit Requested (your supervisor needs changes), or Rejected (your supervisor explicitly declined and you should remove or fix).

Your supervisor sees their review queue at /supervision/review when they sign in. They can verify, request edits, or reject in batches — no per-entry click-through required. Each verified entry stamps the supervisor's saved e-signature plus a timestamp.

Most state boards accept e-signatures on supervisor verification forms. A few require ink on paper. Check your board's submission instructions; if they require ink, print the populated form and have your supervisor sign physically.

Verified entries are locked from edits — that's the protection. If you need to change a verified entry, ask your supervisor to flip it back to Edit Requested, make the change, and they re-verify. The timestamp resets.

Understanding audit findings

Audit → Run audit checks every entry against your state's rules and produces a list of findings. Critical, error, warning, info. Here's what to do with them.

ClearPath's audit engine checks every entry against your state's hour minimums, supervision ratios, category caps, frequency requirements, and timeline constraints. The output is a list of findings sorted by severity.

Critical findings will cause your application to be rejected. Examples: missing 1,000 hours of direct contact, no individual supervision logged, weekly cap exceeded for over a month. Address these before you submit.

Error findings are real problems but recoverable. Examples: supervision ratio drifting toward the limit, group supervision over the per-week cap, gaps longer than 6 weeks without a supervision session. Fix what you can, document what you can't.

Warnings flag patterns boards may question — long gaps, atypical category mixes, low verification rate. They're not blockers but worth reading. Info findings are progress notes (e.g. "You're 87% of the way to your direct-contact minimum") and need no action.

The audit also produces an overall score 0–100 and a risk level (low / medium / high / critical). Aim for low. The Run AI Review button on the same page adds a narrative second pass — useful before submitting, but the deterministic findings are the source of truth.

Free forever for the first 50 entries a month. $25/year for everything. Cancel anytime, keep your data.

Free covers up to 50 hour entries per month, one state, the full rules-checker on every entry, and CSV export. It's enough to keep tracking honestly while a grad-school internship is the only thing on the books.

Pro is $25/year. Unlimited entries, all 50 states + DC, the full audit engine including AI review, supervisor portal access, every state's board forms, e-signatures, and email support. There's a 14-day free trial — cancel during the trial and you won't be charged.

Cancel anytime from Settings → Billing → Manage subscription. You keep Pro features through the end of your current billing period, then drop to Free without losing any of your data. CSV export works on every plan, so you can always pull your full hour log out.

If you change states or licenses mid-year, your Pro subscription covers it — no upgrade or migration cost. The rules engine just retargets. Your existing entries get re-evaluated against the new state's rules so you can see what transfers.
